Triage before you write
Start by separating urgent service issues, ordinary feedback, praise and items that need more context. This prevents the loudest review from controlling the entire queue and gives each item an intentional next step.
Make ownership visible
Every item that needs action should have one owner and one state. Avoid shared responsibility labels such as ‘team’. If another person needs to contribute, keep the original owner responsible for closing the loop.
Review the themes, not only the inbox
Once a week, scan recurring topics across completed items. A simple count and a few representative examples are enough to decide whether an operational follow-up is needed.
